Vulnerable Persons Policy

1. PURPOSE

Happy Leads Ltd is committed to treating all individuals fairly, respectfully, and with appropriate care. This Vulnerable Persons Policy explains how we identify, support, and respond to individuals who may be vulnerable when engaging with our websites, marketing campaigns, services, or partner networks.

The purpose of this policy is to help ensure that vulnerable individuals are not placed under inappropriate pressure, are given clear information, and are supported in making informed decisions.

2. WHO MAY BE VULNERABLE

Where a person appears to need additional support, we will take reasonable steps to ensure that communication is clear, decisions are not rushed, and any concerns are handled carefully.

4. MARKETING AND COMMUNICATIONS

When contacting individuals or handling enquiries, we aim to ensure that communications are clear, accurate, and not misleading. Individuals should be able to understand why they are being contacted, what service or offer is being discussed, and who may contact them next.

We do not knowingly exploit vulnerability, use aggressive sales practices, or place undue pressure on individuals to proceed with a product, service, enquiry, or partner referral.

Where a person indicates that they do not wish to be contacted, needs more time, does not understand the information provided, or may require support from a trusted person, we will seek to respond appropriately and respect their wishes.

5. CONSENT AND DATA SHARING

Where we rely on consent, we aim to ensure that consent is clear, informed, and freely given. If we become aware that an individual may not understand what they are consenting to, or may be unable to make an informed decision, we will take reasonable steps before relying on that consent.

Personal data relating to vulnerable individuals will only be shared with partners where there is a lawful basis to do so and where the sharing is consistent with the information provided to the individual.

6. STAFF AWARENESS

Personnel who interact with individuals are expected to be alert to signs that someone may need additional support. This may include confusion, distress, difficulty understanding information, repeated questions, signs of coercion, or statements indicating that the person is struggling to make a decision.

Staff should handle such situations with patience, respect, and discretion, and should escalate concerns where appropriate.

7. REASONABLE SUPPORT

Depending on the circumstances, reasonable support may include slowing down communication, repeating or clarifying information, allowing time for the individual to consider options, recording communication preferences, ending a call or contact attempt, or signposting the individual to seek independent help where appropriate.

Where a person asks for no further contact, or where continued contact would be inappropriate, we will take steps to update our records and apply suppression or opt-out controls where applicable.

8. RECORD KEEPING

Where appropriate and lawful, we may record relevant information about a vulnerability concern or communication preference so that we can respond properly and avoid inappropriate future contact.

Any such information will be handled carefully, kept proportionate, and processed in accordance with applicable data protection laws and our Privacy Policy.

9. THIRD-PARTY PARTNERS

Where we share data with third-party partners, we expect those partners to treat individuals fairly and to maintain appropriate standards for identifying and supporting vulnerable persons.

If we become aware of concerns about how a partner treats vulnerable individuals, we may review the relationship and take appropriate action.

10. COMPLAINTS AND CONCERNS

If an individual, family member, representative, or support worker has concerns about how a vulnerable person has been contacted or treated, they can contact us using the details below.

We will review concerns fairly and take appropriate steps where contact, data use, or partner sharing should be corrected, restricted, or stopped.

11. REVIEW OF THIS POLICY

We may update this policy from time to time to reflect changes in our business practices, legal requirements, regulatory expectations, or internal procedures.
